Protect Your Guests' Most Important Numbers

Credit cardsConsumers are becoming increasingly vigilant when it comes to the protection of their credit card details. Historically overlooked in the hospitality sector, it has become commonplace for credit card details to be recorded insecurely in open databases or, worse still, pieces of paper stored in filing cabinets.

Introducing Welcome Secure, a unique addition to our range of solutions for hotels. Welcome Secure offers that ultimate peace of mind which can be passed onto hotel guests – their credit card details are safe. We guarantee you won’t find anything quite as simple and cost effective elsewhere!

 

 

Fully Integrated

Welcome Secure is compatible with all of our booking systems - Welcome Online Booking, Welcome 21st PMS and Welcome Anywhere.

It offers two clear benefits:

  • Capture internet bookers’ credit card details for manual processing of deposits or cancellation/no-show charges. Save on merchant payment processing fees from the likes of PayPal and WorldPay (view demonstration).

  • Your reception staff can also manually input and retrieve the credit card details of those guests who choose to book via telephone or walk-in.

Secure Input

Anyone logged into the Welcome booking system can store card details. Welcome Secure does not store name and address details, it only stores the card numbers, booking references and dates. 30 days after departure, this is all automatically deleted. On entry, card details are checked for completeness and consistency.

Secure Retrieval

Bookings containing stored credit card details will have a “retrieve” button. To use this, the operator will need a username and password with the relevant status.

Password Hierarchy

No-one at any level can find out anyone else’s password, though managers and Welcome directors can reset passwords for users who have lost or forgotten theirs. After a password has been reset, the user is forced to change it upon logging in for the first time.

Full Audit Trail

All card entry and retrieval is logged, as are any password changes. Records in the log are retained for 2 years so that any guest who fears their card has been accessed can enquire about any activity at the hotel from entry to deletion.

Industry Standard Security

The card details, usernames, passwords and the access log are all stored on a secure web server, separate from any other Welcome data. It is also encrypted with 128 bit technology and signed by the industry standard Verisign.

A Note on the PCI Standard

The PCI standard is a complex and constantly evolving subject; Welcome Secure aims to help you achieve compliancy. To fully achieve Payment Card Industry Standards of security, please check www.pcisecuritystandards.org for the full list of requirements.

As a minimum, each hotel still needs to have procedures for controlling authorisations on a “need to know” basis and for keeping passwords secure. They also need to protect the name and address data stored on their own computers. Card acquirers may also wish to check remote access to the computer network via the internet.
